Overview

First Supply is looking for a detail-oriented and customer-focused Office Coordinator to support the administrative, accounting, and human resources functions at our new Distribution Center. The ideal candidate is highly organized, an excellent communicator, and comfortable working with people. This role requires strong multitasking abilities, the ability to prioritize tasks effectively, and a keen eye for accuracy and attention to detail in all accounting and administrative duties.

Responsibilities

  • Handle incoming calls, greet visitors, and direct them appropriately.
  • Sort and process incoming and outgoing mail.
  • Provide orientation to new employees as needed.
  • Maintain conference and training room calendars.
  • Coordinate staff meetings, training sessions, and promotional events.
  • Order and maintain office and computer supplies.
  • Supervise office equipment installation, repairs, and maintenance contracts.
  • Assist with timecard corrections and prepare biweekly payroll reports.
  • Assist with accounting functions, including coding and submitting expenses and invoices.
  • Maintain vendor PO records and resolve discrepancies.
  • Balance ledger accounts and reconcile the petty cash account.
  • Monitor and collect employee purchase accounts.
  • Work with the Credit Manager on major accounts receivable reconciliation/collections.
  • Process cash handling, credit card transactions, and journal entries.
  • Provide back-up for routine billing, both direct and inter-company direct.
  • Ensure office equipment is installed and maintained properly.
  • Other duties as assigned by the Distribution Center Manager or Regional Accounting and Operations Manager.

Qualifications

  • Strong organizational and multitasking abilities.
  • Excellent communication and customer service skills.
  • Experience with accounting and payroll functions preferred.
  • Proficiency in office software and administrative systems.
  • Ability to handle confidential and sensitive information responsibly.
